A Day in the Life:

As the Administrative Specialist for the Garden City office, a typical start to the day includes preparing the office by turning on lights, stocking and maintaining copy rooms, managing the copiers and incoming faxes, distributing printed jobs to employees, making coffee, and being ready to serve customers and employees. Throughout the day you will greet employees, customers, and visitors in a courteous manner when they enter the office, and leave a lasting impression as they leave the office.  Answering the telephone is a primary function and must be done in a professional and lively manner to assist customers and prospective customers. This position processes deposit, and assists employees with data entry of insured information and prepares and attaches documentation in our agency management system. This position orders, and documents motor vehicle records, prepares and processes certificates of insurance, as well as maintains data and prepares workbooks and requests renewal documentation from customers for renewal policies 120 days out from the renewal date.

The Administrative Specialist’s daily responsibilities also include picking up mail, sorting, scanning, delivering, and posting the outgoing mail for the day. This position also includes printing and stuffing envelopes with insurance documents and certificates of insurance for mail delivery. Maintaining the calendar with employee time off requests and with usage of the meeting rooms is also required, including assisting with coordinating, setting up the room, ordering and setting out food and refreshments, and cleanup following. Working as a team with administrative personnel from other offices pulling down documents from carrier websites, forwarding emails received for the agency email and your individual email, logging claims into the agency management systems when received, and pulling reports from carrier portals and forwarding to employees. You are also responsible for maintaining the area where promotional items are displayed and stored.

Also, daily you will maintain cleanliness and organization in all areas of the office, including the lobby, meeting rooms, and kitchen.

Reconciling petty cash, ordering, maintaining, and organizing supplies for the office, as well as managing the pool car mileage is another part of monthly/quarterly activities.

This position reports to the Operations Manager.

What You Will Need to Do This Job:

  • A high school diploma or equivalent, with 1-2 years of direct customer service experience required or an equivalent combination of education and/or experience.
  • A valid driver’s license.
  • Conduct business in an ethical manner and be a person of the highest integrity and honesty.
  • Team player with a helpful personality and supportive attitude.
  • The ability to multi-task.
  • Driven with a career mindset.
  • Very dependable and self-sufficient with a high sense of urgency.
  • Strong abstract reasoning and problem-solving ability.
  • Quality data entry and the ability to use and understand technology including a computer, smart phone, tablet and various software programs and apps.  Strong abilities in Microsoft Word, Excel and Outlook Email.
  • Diligently maintain the Agency Management Systems integrity.
  • This position generally works in an office environment but is occasionally exposed to outdoor conditions or other locations.  Long periods of sitting, standing and computer work are required.  The ability to speak, hear, and type is also required.  You will regularly lift 20 pounds or less.
  • This position will also be required to perform other duties as assigned by management.
